Hosted Document Management delivers big savings to King UK

King UK is a part of the Autobar Group, one of Europe's leading providers of vending, food services, packaging, disposables and distribution services. It is the UK's leading supplier of all non food products used by every type of outlet, from pubs and restaurants, canteens and hotels to nursing homes, schools, leisure centres and offices.
Operating from 16 regional locations and depots strategically located throughout the UK, King UK's fleet of 170 commercial vehicles makes over 16,000 deliveries each week to more than 50,000 customer outlets.

 The Challenge
King UK is committed to providing unsurpassed service levels, reliability, flexibility, product choice and value for money. The company is proud of having an efficient supply chain system and has supported this with a document management system that delivers effective handling of processes such as invoicing, delivery notes, etc.
e-Docs UK has been working with King UK since 1993 when it installed microfilming systems to improve the processing of delivery notes and tickets. In 1998, the company migrated to a CD-based solution using e-Docs UK's bureau-based scanning and indexing service.
After giving good service, the network CD jukebox system was beginning to wear out and needed updating. King UK wanted a reliable document management solution that offered a higher capacity to cope with increasing business levels whilst eliminating technology support costs. This would form part of an overall technology update, which would streamline communications with depots, customers and suppliers alike.

The Solution
After an extensive market evaluation of available solutions, King UK selected e-docs Online, an online, hosted solution that has been developed by e-docs UK to meet the needs of organisations requiring rapid access to corporate data twenty four hours a day regardless of location.
e-docs UK worked closely with King UK personnel to tailor the solution to meet it's specific requirements. Using high-speed scanners, e-docs UK processes more than 25,000 documents, including sales and purchase invoices, delivery notes and remittances, each week. These are received either electronically or as hard copy in weekly drops from each depot. 
e-docs Online delivers faster availability of information enabling documents to be viewed online within twenty-four hours -a significant improvement over the previous system that could take up to three days to request a document and have it shipped to a remote location.
Improved cross-referencing has enabled faster matching of invoice and delivery note numbers whilst the system's flexible search parameters give rapid retrieval of all documents relating to individual invoices. 
e-docs Online is used for the storage, retrieval and distribution of information electronically as well as by hard copy and fax when required. King UK has also set up a portal enabling suppliers to log on to the system and view the current status of their invoices.
“By pro-actively suggesting possible solutions, e-docs UK has provided us with an easy transition from paper-based invoicing to e-billing,” commented Doug Wiggins, national credit manager for King UK. “By achieving faster, more accurate billing and improving invoice query handling, we have significantly reduced our debtor days. e-docs Online has also delivered higher levels of control and greater accountability for all paperwork processed.”
