Since e-docs UK was established in 1988, we have delivered solutions to increase the efficiency of Finance and HR departments. A key factor in doing this is our ability to match documents and data, of different formats, and bring these together so the consolidated view can be published to internal departments and customers alike.

The screen-shot  below shows how Sales Invoice data is matched with a TIFF file from a Delivery Note giving reconciliation between the signed Delivery Note and the Sales Invoice. Through OneViewAR this single PDF is available online to both Credit Control and the Customer who has 'self-service' query management capability.

Accounts Receivable. Matching Delivery Notes to Sales Invoices helps Credit Control departments reduce their internal costs of retrieving, copying and despatching duplicate information.

Combining our Data Processing and Document Scanning Services with our OneView Retrieval software enables e-docs UK clients to give their own key customers on-line access to matched Invoices and Delivery Notes. This provides a "self service" query management capability and contributes to reducing Debtor Days and improving customer service 

Accounts Payable. Matching Purchase Order information to Purchase Invoices, this removes the need for AP staff to key this information and assures a 100% accuracy rate for approving matched Purchase Orders to Invoices.

Human Resources. All HR departments need a single view of all employee data. We do this by matching on the National Insurance Number and/or Employee number all payroll and HR records in to a single web based solution. 

Data Management

Data Format / Input
We can accept data in any of the standard formats including Print Image, Record Structure, CSV Format, PCL and Postscript print data, Portable Document Format (pdf), plus bespoke formats. All data can be submitted by secure FTP (connected either by ISDN or the Internet using VPN technology), or email.

Data Manipulation
Our software routines have been designed to create efficient and cost effective mailings. The key to our success is our flexibility in different situations, and our modular based system can adapt to the vast majority of requirements.

Document Merging
We can dramatically reduce your postal costs by merging different documents using the same destination address into one envelope. e-docs UK have the ability to take multiple data files, eg. Invoices and Statements, and merge them early in the process at the data stage. This creates a single print stream containing both document types. This print stream is then enclosed into envelopes, utilising software-generated "Optical Mark Recognition". The result is a potential 50% reduction in postal costs.
 

Data Retention

 SafeHaven, the e-docs UK secure repository can be used for long term Data Storage. Utlising OneView, our own retrieval solution means that clients can access their data from any location by simply using a web browser with secure log on.
